Resource Coordination and Administration

The IR-DO-RCA section supports the Director for International Relations and the International Relations Group Leaders, Section Leaders and Project Managers in the management and planning of the Sector’s material and personnel resources through the provision of centralised and streamlined resources coordination, budgeting, financial and human resources processes and risk management.

The section provides administrative services, ensuring timely and accurate implementation of, and follow-up on, personnel management processes and other administrative matters.

Specific tasks mandated to the section include:

  • Resources management - planning and coordinating the financial resources of the IR Sector, budgeting the material and human resources, monitoring the execution.
  • Providing strategic analysis, reporting and advice to the Director for International Relations as well as to other members of the IR management (e.g. GLs, SLs, PLs) in the area of resources management (e.g. MTP, APR processes, etc.).
  • Implementing the resources planning cycle, liaising with the central services in the FAP Department.
  • Ensuring appropriate financial administration, including follow-up of requests for funds, revenues, contracts, etc.
  • Following up on the International Relations Sector procurement contracts and liaising with the central services in the IPT Department.
  • Managing the selection processes for staff, fellows, admin/tech/doc students, summer students (in consultation with relevant colleagues), other MPAs. 
  • Representing the International Relations Sector in the respective selection committees, e.g. AFC, TSC.
  • Risk management – analysis of the IR activities in collaboration with various interlocutors, establishing and keeping up to date the IR Risk register.
  • Representing the IR sector in the Enterprise Risk Management Advisory Committee (ERMAC).
  • Providing administrative services to the whole IR sector:
    • IR Departmental Administrative Office secretariat.
    • Group Administrative Offices support to the DS, DO, ECO, SG groups.
  • Liaising with the HR, FAP and IPT departments for the fulfillment of the administrative services.
  • Coordinating learning and development activities, liaising with other focal points in the area as needed, e.g. HR department.
  • Coordinating data privacy protection activities in the International Relations Sector, liaising with other entities as needed, e.g. HR, FAP departments.
  • Serving as focal point for Diversity and Inclusion matters in the Sector, liaising with other focal points in the area as needed.
  • Serving as International Relations Sector Space Manager, including coordinating review and collection of space management needs, liaising with the SCE department and other relevant services.
  • Coordinating inventory management in the Sector.
  • Serving as an entry point and follow up of CERN copyright requests and any other corporate communication requests for the usage CERN official logos and any other audiovisual or communication materials.
  • Undertaking a continuous review of processes and practices for optimization in the IR Sector.
  • Upon request, representing the Sector in CERN-wide and inter-Departmental bodies and activities related to administrative, personnel, resources and budgetary matters.
